• By voluntarily providing your Personal Information to UDS Hotels & Resorts, you acknowledge and consent to the collection, use, processing, storage, and disclosure of such information in accordance with this Privacy Policy.

What is collected
• We may collect the following categories of Personal Information (“Personal Information”):
- Personal identification and contact details, including name, preferred name, title, postal address, telephone number(s), and personal email address;
- Date of birth, age, anniversary dates, and other special occasions;
- Gender;

- Nationality, country and city information, and device-related information such as location data, IP address, device identifier, mobile operating system details, and similar technical information;
- Details of next of kin, emergency contacts, and pseudonymous email addresses;
- Copies of government-issued identification documents, where required by applicable laws at the hotel location;
- Copies of passport and visa documents, where required by applicable laws at the hotel location;
- Reservation and travel-related information, including length of stay and travel itinerary.
- Photographs;
- Banking information, and credit/debit card details;
- CCTV recordings and information collected through electronic systems, including access control systems, internet networks, key card systems, point-of-sale devices, and other security or technology systems used within our hotels;
- Information relating to your use of our information technology and communication systems;
- Preferences and interests, including dietary requirements, allergies, health-related information, service preferences, room preferences, food preferences, and special requests;
- Information regarding your use of our services, websites, and mobile applications; and
- In certain circumstances, voice recordings, including customer service interactions, are captured for quality assurance, training, and service improvement.
• At the time of collecting Personal Information, UDS Hotels & Resorts will generally specify the purpose for which such information is being collected and provide you with the option not to provide such information. However, where certain information is necessary for the provision of services or fulfilment of legal obligations, failure to provide such information may result in our inability to provide certain services or may affect the quality of services offered. UDS Hotels & Resorts shall not be liable for any inability or deficiency in service arising from your failure to provide the requested information.
• Individuals under the age of 18 may access and use our services only with the consent of a parent or legal guardian. As a general practice, we do not knowingly collect sensitive personal information or personal information relating to children under the age of 18, except where required to provide contracted services and where parental or guardian consent has been obtained. If we become aware that such information has been collected inadvertently, we will take appropriate steps to delete it as soon as reasonably practicable, unless retention is required by applicable law or valid consent has been obtained.
Why is it collected
• UDS Hotels & Resorts collects and processes Personal Information for legitimate business purposes and to provide hospitality-related products and services.

- To conduct surveys, promotions, competitions, and customer engagement activities;

If you make a reservation or transaction on behalf of another individual, you are responsible for ensuring that such individual is informed about this Privacy Policy and understands how their Personal Information will be used. By providing their details, you represent that you have the authority to do so and that appropriate consent has been obtained. We may communicate directly with such individuals regarding the services booked while retaining your billing and payment information, where applicable.
How is it collected
We may collect Personal Information through the following sources:
• When you use our services, whether directly or through agents, booking platforms, guest contact centres, travel agents, or corporate accounts;

• UDS Hotels & Resorts maintains reasonable administrative, technical, operational, and physical safeguards designed to protect Personal Information from unauthorized access, use, disclosure, alteration, or destruction.
• Personal Information is retained only for as long as necessary to fulfil the purpose for which it was collected, unless a longer retention period is required by law or is necessary for legal, accounting, audit, reporting, or legitimate business purposes. Appropriate confidentiality measures continue to apply during the retention period.
• You acknowledge and consent that UDS Hotels & Resorts may share Personal Information with its subsidiaries, affiliates, group entities, business partners, service providers, and vendors engaged in activities such as website hosting, application development, payment processing, customer support, analytics, digital storage, IT infrastructure management, marketing, reservations, and loyalty programme administration, solely for legitimate business and operational purposes.
• We may also disclose Personal Information:

- In connection with actual or anticipated legal proceedings;
- To establish, exercise, or defend legal rights, including fraud prevention and risk management;

• UDS Hotels & Resorts shall not be responsible for any misuse, unauthorized access, or disclosure of Personal Information arising from factors beyond its reasonable control, including vulnerabilities inherent in internet communications.
Transfer of Personal Information
• Unless otherwise specified, Personal Information is stored and processed within India. However, there may be occasions where it is necessary to transfer Personal Information outside India to facilitate service delivery, operational requirements, or business functions.
• Where such transfers occur, UDS Hotels & Resorts will take reasonable steps to ensure that appropriate safeguards are implemented to protect Personal Information. Such safeguards may include contractual commitments, security assessments, and technical and organizational measures designed to provide an equivalent level of protection.
Your Rights in Relation to Personal Information
• Right of Access and Correction – You may request details regarding the Personal Information we hold about you, including the purposes of processing, categories of information, recipients, and retention periods. You may also request correction or updating of inaccurate or incomplete information.
• Right to Deletion – You may request deletion of your Personal Information, subject to legal, contractual, and operational obligations. Deletion may impact our ability to provide personalized or ongoing services.
• Right to Withdraw Consent – Where processing is based on consent, you may withdraw such consent at any time by contacting us. Withdrawal may affect our ability to provide certain services.
• Right to Data Portability – Subject to applicable laws and technical feasibility, you may request a copy of certain Personal Information in a structured, commonly used, and machine-readable format and may request transfer to another organization.

Please note that even if you opt out of marketing communications, we may continue sending transactional and service-related communications, including OTPs, reservation confirmations, account updates, membership notifications, and similar operational messages.
